​​​Reservations will open Wednesday, June 10, 2026 at 9:00 am (CT) / 10:00 am (ET)
Any reservation forms sent prior to the 9:00 am (CT) start time on Wed. June 10 will not be honored.
All room requests will be made via a digital form, which can be accessed by returning to this page on Wednesday morning and clicking on the HOTEL RESERVATION REQUEST form.

A separate HOTEL RESERVATION REQUEST form must be submitted for each room.
TENA Conference group rate hotel rooms cannot be reserved through the hotel, via telephone, or online.
The email address on the form will receive a reservation or waitlist confirmation. Room requests that cannot be completed at the time of receipt will be added to the waitlist in the order they are received.

Cancellations must be submitted to Shauna Heath via email to TENAHotelRegister@gmail.com no later than WEDNESDAY, AUGUST 12th @ 5:00 pm (CT). DO NOT RELEASE your rooms directly to the Embassy Suites. Those rooms will go into the hotel's general block and will not be available to TENA attendees. Please notify Shauna of your cancellations.​

Hotel Reservation Information
After submitting your reservation request using the form available on the TENA website at www.tena911.com/hotel-reserve-form, TENA will add your information to the master reservation list. You will then receive a link from the Embassy Suites to finalize the reservation process. Once you have completed the steps outlined in the link, you will receive a hotel confirmation number.
To facilitate a more efficient check-in process, a one-night, non-refundable deposit is now required at the time of booking. This process allows the hotel to maintain the credit card used during the reservation process on file, eliminating the need to present the card again at check-in for each room.
Agencies claiming tax-exempt status must provide the hotel with a copy of their tax-exempt certificate prior to check-in. If you are mailing a check, please send your tax exempt form with the check or you can email your forms to kendra.baker@atriumhospitality.com. Providing this documentation in advance will help avoid delays during the check-in process.
Payment by Check
If your agency plans to pay for hotel accommodations by check, the check must be received by the hotel no later than ten (10) business days prior to check-in and should be mailed directly to the hotel at the address listed below.
Please include the hotel confirmation number(s) and the name(s) of the guest(s) whose reservation(s) the payment should be applied toward. If a single check covers multiple attendees, a separate sheet listing the applicable names and confirmation numbers should be enclosed with the payment.
Checks must be issued for the full amount of the reservation, including applicable taxes:

If a valid tax-exempt certificate is submitted with the payment, only the 5.00% City Tax and 5.00% County Tax will apply.
Once the hotel receives and processes the payment, it will be applied to the designated reservation(s), and attendees will be ready for check-in upon arrival.
Please note that, in accordance with hotel policy, if payment by check is not received at least ten (10) business days prior to check-in, the full amount of the stay will be authorized on the credit card provided at check-in until the check has been received, processed, and cleared.

Hotel Changes and Cancellations
Please do not contact the Embassy Suites directly to change or cancel hotel reservations. Reservations canceled directly with the hotel will revert to the hotel's general inventory and will no longer be available to attendees on TENA's waiting list at the conference rate.

We have an indoor pool and spa, and 63,000 sq. ft. of function space. Join us for free made-to-order breakfast and our complimentary evening reception. We're 30 minutes from downtown Nashville.

BELOW ARE SOME QUESTIONS RECEIVED REGARDING THE HOTEL RESERVATION PROCESS
1. Do you have to have an individual email address for each reservation?
No, you do not have to use individual email addresses for each reservation. The reservation confirmation email will be submitted to the email address listed on each form. i.e. If four reservation forms are submitted using the same email address, four confirmation emails will be sent to the one email address, as provided on each reservation form.

A reply email will be sent to notify you that reservations will not be accepted until 9 am (CT). WE CANNOT GUARANTEE THE RESPONSE TIME FOR DELIVERY OF THE REPLY EMAIL.We cannot control the amount of time needed for your email server to deliver the reply email to your inbox. ​​​​
