​​​Reservations will open Wednesday, June 11, 2025 at 9:00 am (CT) / 10:00 am (ET)
  Any reservation forms sent prior to the 9:00 am (CT) start time on Wed. June 11 will not be honored. 
 
All room requests will be made via a digital form, which can be accessed by returning to this page on Wednesday morning and clicking on the  HOTEL RESERVATION REQUEST  form.
A separate HOTEL RESERVATION REQUEST form must be submitted for each room. 
TENA Conference group rate hotel rooms cannot be reserved through the hotel, via telephone, or online.

The email address on the form will receive a reservation or waitlist confirmation. Room requests that cannot be completed at the time of receipt will be added to the waitlist in the order they are received. 

  • Cancellations must be submitted to Shauna Atchison via email to TENAHotelRegister@gmail.com no later than WEDNESDAY, AUGUST 20th @ 5:00 pm (CT)DO NOT RELEASE your rooms directly to the Embassy Suites.  Those rooms will go into the hotel's general block and will not be available to TENA attendees.  Please notify Shauna of your cancellations.

After making your reservations using the form on the TENA website at www.tena911.com/hotel-reserve-form, TENA will place your information on the master list, and a link will be sent to finalize the registration process.  You will receive a confirmation number once you complete the process outlined in the link.

We now require a 1-night, non-refundable deposit to ensure a more efficient check-in.  This will help keep the credit card on file that you use at booking to avoid what happened last year, with having to present the card for each room. You will also provide the hotel with your agency’s tax-exempt form.  This form should be provided ahead of check-in.

If paying by check for hotel reservations for the upcoming conference, the check needs to be received 10 business days before check-in and can be sent directly to the hotel at the address below.  We ask for the confirmation number and names on the reservations on the check in the "for" section, so we know which reservation the check is going towards. If there are multiple individuals it's going towards, they can include it in the check envelope on a separate sheet of paper.

The check must be for the full amount, including the 5% city tax, 5% county tax, and 9.75% state tax. If there is a tax-exempt form, that will need to be included when the check is sent in, and then only the 5% city tax and 5% county tax would apply. Once the check is received, it will be applied to everyone’s rooms, and they will be good to go at check-in.

Per the hotel policy, if a check is not received 10 business days before the guest's check-in, the full amount will be held on the credit card provided at check-in until the check has been processed and cleared.

Please DO NOT call the Embassy Suites directly to change or cancel hotel rooms.  If you cancel rooms, those rooms will default to the hotel block and will not be available to any attendee on the waiting list at the TENA rate.  Contact Shauna Atchison, Hotel Committee chair at TENAHotelRegister@gmail.com with all cancellations.

BELOW ARE SOME QUESTIONS RECEIVED REGARDING THE HOTEL RESERVATION PROCESS

1. Do you have to have an individual email address for each reservation?

No, you do not have to use individual email addresses for each reservation. The reservation confirmation email will be submitted to the email address listed on each form.  i.e. If four reservation forms are submitted using the same email address, four confirmation emails will be sent to the one email address, as provided on each reservation form.

 

2. If someone sends an email at 8:57 am, will there be some kind of message sent back to them letting them know reservations have not opened yet or how will they know to resubmit?

A reply email will be sent to notify you that reservations will not be accepted until 9 am (CT).  WE CANNOT GUARANTEE THE RESPONSE TIME FOR DELIVERY OF THE REPLY EMAIL.We cannot control the amount of time needed for your email server to deliver the reply email to your inbox. ​
